Online booking for salons and clinics: what you need

By Mintinaj team · Updated · 3 min read

Short answer

Good online booking lets a client pick a service, a staff member and a free time slot in under a minute, while you keep control of your calendar. Before you choose a system, list your services with durations and prices, your staff and their hours, and your rules for cancellations, deposits and no-shows.

Why online booking matters

Many clients prefer to book when it suits them, often in the evening, instead of calling during opening hours. Online booking also cuts the back-and-forth of messages and calls, and shows your free slots at a glance.

Prepare this before you start

  • Services: name, duration, price and any preparation or cleaning time between appointments (a buffer).
  • Staff: who does which service, working hours, breaks and days off.
  • Opening hours and holidays.
  • Booking window: how far ahead clients can book, and the shortest notice you accept.
  • Rules: cancellation deadline, what happens after a no-show, and whether you take deposits.

Features to look for

  • Booking by service and by staff member, with real availability.
  • A clear confirmation for the client with the date, time, address and how to cancel or change.
  • A calendar for you and your team that shows bookings per person.
  • Client records (a simple CRM) so you can see visit history and notes.
  • Booking screens that work well on phones, because most clients will book on one.
  • Time zones and languages handled correctly, especially if you serve tourists or expats.

Clinics: extra care with privacy

Health information is sensitive data in many countries, for example under the GDPR in the European Union. Keep the online booking form to what you need to schedule the visit: name, contact details, service and time. Ask for medical details in person or through a channel designed for health data, not in a free-text field on a booking form.

Publish a privacy notice that says what you collect, why and for how long.

Reduce no-shows

  • State your cancellation policy on the booking page and in the confirmation.
  • Make cancelling easy: a client who can cancel in two taps is more likely to free the slot than simply not turn up.
  • Send a reminder before the appointment if your system supports it.
  • For long or expensive services, consider a deposit and say clearly when it is refunded.

What Mintinaj includes

Our Appointment booking package ($149 setup, $25 a month, USD ex-VAT) is a full business site plus online booking on a separate booking screen, a staff calendar and a CRM. Online booking itself is free in every site; the package price covers the booking-focused site and its service. Every service card on your site has a Book button that opens the booking screen with that service already chosen. See the package and the price, or choose your type of business to see a demo.

Frequently asked questions

Do I need a separate booking app?

Not necessarily. A booking screen that is part of your website keeps clients on your own site and under your own name. A separate app makes sense if you need features your site does not offer. More for barbers and stylists in our guide to a barbershop or hair salon website with online booking.

Can clients choose a specific stylist or doctor?

Yes, if the system books by staff member. Set each person’s services and hours, and clients see only real free slots.

Should I take deposits?

It depends on how often clients miss appointments and how long your services are. If you take deposits, state the amount and the refund rules before the client confirms.

Can I keep taking bookings by phone?

Yes. Add phone bookings to the same calendar so online clients never see a slot that is already taken.
